COMMUNICATIONS GUIDE

Clear communication is how we keep cadets safe, prepared, and successful.

This guide explains how our division communicates, where to find important information, and what we expect from cadets and families. Following this structure ensures everyone stays informed and nothing gets missed.

Where to Start: Our Main Communication Tool

TeamApp (Stack Team App): This is our primary and official communication platform.

NOTE: If you only check one place...this is it. TeamApp is available on mobile (iOS & Android) and web.

 

Our team name is: “Cruiser Milwaukee

What you’ll find in TeamApp:

  • Division Chat – Daily communication and updates

  • Events – Official drill schedules and event details

  • POM (Plan of the Month) – Monthly drill plans

  • Documents – Forms, handouts, and important materials

Expectation: Check TeamApp often.

Plan of the Month (POM)

The POM is your go-to guide for each drill weekend.

It includes:

  • Detailed schedules

  • Training objectives

  • Locations and reporting times

  • Uniform requirements

  • Leadership assignments

Expectation: Cadets and parents should review the POM before every drill.

Quarterdeck (Cadet Records & Training System)

Quarterdeck is the official national system used by the Sea Cadets. Important: This is not a communication tool, but it is essential.

What Quarterdeck is used for:

  • Medical documents

  • Emergency contact information

  • Training records and advancement

  • Awards and ribbons

  • Registering for trainings

Built-in tools include:

  • Homeport: Official policies and regulations

  • Polaris: Online training and coursework

Expectation: All cadets and parents must maintain an active Quarterdeck account and keep information up to date.

Email Communication

Primary Email: crmilwaukee@gmail.com

Use email for:

  • Private or sensitive matters

  • Administrative questions

  • Situations needing detailed explanation

This is a shared leadership inbox, meaning multiple leaders see messages and can respond quickly.

Division-Wide Emails: From time to time, we send emails to all families to reinforce important information.

These are typically:

  • Important reminders

  • Critical updates

  • Key announcements

These messages will usually also appear in TeamApp.

Contacting Leadership

You may occasionally email individual leaders, but using the shared inbox helps ensure:

  • Faster responses

  • Better coordination

  • Nothing falls through the cracks

Text Messages & Phone Calls

These are reserved for urgent situations only, such as:

  • Running late to drill

  • Day-of coordination

  • Emergencies

  • When other communication methods are unavailable

Routine questions should not be handled via text or phone.

Expectations for Cadets & Families

To stay informed and prepared:

  1. Check TeamApp often (daily)

  2. Review the POM before every drill

  3. Keep Quarterdeck information current

  4. Use email for private or detailed communication

  5. Expect occasional division-wide emails

  6. Use text/call only for urgent matters

Youth Protection: Two-Deep Communication

We follow a strict two-deep communication policy to protect both cadets and adult leaders.

What this means:

  • No adult communicates privately one-on-one with a cadet

  • All communication must include:

    • At least two approved adults OR

    • Be in a visible group setting

This applies to...

  • TeamApp

  • Email

  • Text messages

  • Phone calls

  • Social media

This standard ensures safety, transparency, and professionalism at all times.
